Sick leave, certificates and privacy
Book sickness with an attachment or an INPS certificate number, straight from your phone — and know exactly who can see the certificate.
Sick leave is different: it arrives unplanned, it often needs proof, and that proof is sensitive. Bueggio HR handles all three — this guide shows how to book it right, and what happens to a medical certificate after you upload it.
Booking sick leave
Same form as everything else — pick the sickness type, the days, send. Depending on how your organization configured the type, the form may ask for:
- An attachment — typically a photo or PDF of the medical certificate. The field appears only when the type requires it, and the form won't submit without it.
- A certificate number — built for Italy's INPS protocol number: your doctor files the certificate electronically, you just type the code they give you. No file needed.
Booking from bed
Nobody plans sickness from a desk. The mobile app makes the whole thing a two-minute phone job — including photographing the certificate straight into the attachment field. Approvers can also book on your behalf if you'd rather just send a message.
Who sees the certificate
A medical certificate is special-category data under GDPR, and it's treated accordingly:
- It's visible in the request's detail — to you and to the people who can decide your requests. It's not on the wall chart, not in notifications, not in calendar events.
- Push and Slack notifications about requests carry name, type and dates only — never notes or attachments.
- If you're ever erased under GDPR, attachments are purged with everything else.
How sick days count
Sickness typically doesn't deduct from your holiday allowance — it's tracked separately (your organization may set a per-type yearly counter). It usually doesn't occupy a slot in department absence caps either, so your sick day never blocks a teammate's holiday.
Good to know
- Sick leave often still requires approval — less "permission", more "acknowledged, get well soon".
- Forgot the certificate? Book first if the type allows it, or ask your approver/admin about the fastest path — practices differ by company.
- Multi-day sickness spanning a weekend follows the same counting rules as everything else.
