Booking

Time off booked in ten seconds

Pick the days, tap send. Before the request goes out you see exactly what it costs against your remaining balance, with your working week, public holidays and half days already accounted for, and a heads-up if teammates are away on the same dates. It works just as well from a phone on the bus as from a laptop.

Half days that behave

A request starts in the morning or the afternoon, and ends at lunchtime or end of day: two simple selects, no checkbox puzzles. Balances, wall chart and calendars all follow the same half-day math.

Overlap warnings

If someone from your department is already off on those dates, you see it before you book, not after.

Notes and attachments

Add context for your approver, and attach a document when the leave type requires one, like a sickness certificate. Files are validated and stored in the EU.

Auto-approved types

Types that don't need sign-off, like remote work, skip the queue and land on the wall chart instantly.

Out-of-office reminder

An optional email two days before an absence starts reminds you to sort handovers and switch on your auto-reply.

Approvals

One click to approve, wherever the manager is

Approvers are notified by email, Slack, Teams or push, and can decide from any of them without logging in. The decision updates the wall chart, the balance and every connected calendar in the same instant.

Straight from the inbox

Secure one-click links let managers approve or decline from the email itself. No login, no password reset at the worst possible moment.

Inside Slack and Teams

Approve from the Slack message; declining opens a small form asking for the reason. Microsoft Teams gets the same one-click cards.

No silent declines

Declining always requires a reason. It is sent to the requester and stored with the request, so decisions stay explainable months later.

A full audit trail

Every request keeps a tamper-proof timeline: created, approved, declined or cancelled, by whom and when.

The right approver

Each department can have its own approver; where there is none, admins step in. Managers only ever see their own team's queue.

Followers stay in the loop

People who need to know but not approve, like a shift planner, can follow a department and get a note when absences are booked or cancelled. Never pending-request noise.

Wall chart

The whole team on one chart

The wall chart is the heart of Bueggio HR: everyone's time off on a single shared view, weekends and each person's own public holidays already shaded, pending requests marked until they are decided. It answers the daily question, who is off and when, at a glance.

Filters and density

Filter by department, switch to a compact view for larger teams. The chart stays fast past 50 people.

Drag to book

Book without leaving the chart: drag across your days, and use the half of a cell to start at lunch. The booking form opens pre-filled.

Everyone's own holidays

Each person can follow their own country's holiday calendar, so a team spread across borders sees the real picture, not the HQ's version of it.

Date locks

Freeze new bookings around inventory week or the Christmas rush: company-wide or per department, with a reason and a colour on the chart so nobody is surprised.

Absence caps

Cap how many people in a department can be away on the same day. Requests over the cap are blocked at booking, and pending requests hold their slot, so approvals never break the limit.

Calendars

Your leave, in every calendar you already use

A personal year view inside the app, plus real sync with the calendars your team lives in: Google Calendar, Outlook and Apple Calendar.

Your whole year at a glance, with half-day squares, upcoming and past requests, and one-tap booking of a free afternoon.

Google and Outlook sync

Connect your work calendar once: approved leave appears as all-day events and disappears if the request is cancelled. Half days become timed events split at noon.

iCal feeds

Private feeds per person and per department for Apple Calendar or anything that reads iCal, with pending requests marked tentative.

Only the dates travel

Calendar events carry who is off and when. The note on the request never leaves the app.

Country rules

Built-in rules where leave is hardest

Public holidays for 45+ countries import in one click, and every person can follow their own country's calendar. For Italy, France and Spain, the rules that make leave genuinely complicated are implemented inside the allowance engine, not in a spreadsheet next to it.

Italy

ROL and ex-festività tracked as hour balances alongside ferie, and the INPS certificate number captured on sick leave.

France

Congés payés counted in jours ouvrables or ouvrés, RTT as its own balance, and jours de fractionnement handled.

Spain

Convenio extras, libre disposición days and regional holiday calendars layered on top of the national one.

Fair first years

Give someone a start date and their first-year allowance is pro-rated automatically.

Personal working weeks

Part-timers and four-day weeks: each person can have their own working days, and every calculation respects them.

Your own company days

Add closure days or local holidays that apply only to your organisation, on top of the national calendar.

Team & admin

Set up in an afternoon, not a quarter

Three roles (employee, manager, admin), departments with their own approvers, and settings that fit on a handful of screens. There is no consultant phase: an onboarding checklist walks you through the few pieces that matter.

Invite by email

Add someone with a single invitation email; they set a password or sign in with Google or Microsoft. Nothing to install, nothing to explain.

One panel per person

Role, department, allowance and per-type counters, personal working week, holiday country, plus an optional HR contact record visible to admins only.

Leave types, your way

As many types as you need, each with its own colour and rules: does it deduct allowance, does it need approval, does it require an attachment, does it count toward absence caps.

Reports

Numbers your accountant will actually use

A per-person allowance report for the HR questions, and a payroll export that closes the month without copy-paste.

Allowance report

Total, used, pending and remaining for every person, filterable by department, exportable to CSV.

Payroll export

All approved absences of a month as HTML, CSV or PDF, ready for whoever runs payroll. Requests spanning the month boundary are clamped and recomputed correctly.

Only administrative facts

The export carries names, dates, types and day counts. Free-text notes deliberately never leave the app.

Slack, Microsoft Teams, the calendars, a REST API with signed webhooks, and an MCP server for AI assistants. Every integration is included in the one plan.

Slack, properly

Book and check balances with /bueggio, approve from the channel, get a daily who's-off summary where you choose, and an automatic out-of-office status while you're away (a generic one: never the reason).

Microsoft Teams

Approval cards in your channel, with the same one-click decisions as email.

Privacy & security

GDPR-first, and able to prove it

Bueggio HR runs entirely in the European Union, collects the minimum a leave tracker needs (a name and an email address), and ships the compliance tooling other vendors gate behind sales calls.

EU hosting, no exceptions

App, database, uploads and backups all live in Frankfurt and never leave the EU. Sensitive credentials are encrypted at rest.

Export and erasure built in

One-click JSON export of the whole organisation or a single person, and anonymising erasure that keeps the stats but removes the person. No support ticket needed.

A public DPA

The Data Processing Agreement is published, lists every subprocessor, and applies to every account from day one.

Two-factor authentication

TOTP two-factor for every user, and admins can require it org-wide before anyone reaches the app.

Sign-in history

An org-wide sign-in log shows who signed in, how and from where. Any support access is marked as such, always visible, never disguised.

Session control

Everyone sees their own active sessions and can sign out other devices in one click.
