Leave management software for estate agents: the best way to organise holiday, time off and Saturday cover (2026 guide)

Leave management software for estate agents and lettings agencies, explained: how to keep Saturday viewings covered with a wall chart per branch, Monday-to-Saturday working weeks, absence caps and date locks, employees and self-employed consultants on one calendar, phone requests and one-click approvals, leave synced to Google Calendar and Outlook, UK holiday rules (5.6 weeks, commission in holiday pay, SSP from day one) built in, and GDPR without tracking anyone. From €1.30 per user per month.

Short answer: the best leave management software for estate agents is the one that answers "who's covering Saturday viewings?" in three seconds. You need a shared wall chart per branch or team, a Monday-to-Saturday working week with each person's own day off midweek, a cap on how many people can be away at once in the busy months, requests from a phone between two viewings, one-click approvals for the branch manager, approved leave inside everyone's Google Calendar or Outlook, employees and self-employed consultants on the same calendar, and UK holiday rules built in. Bueggio HR does exactly that, EU-hosted and GDPR-first, at €1.30 per user per month with the first month free and no card required.

In an estate agency an unplanned absence is not an office inconvenience: it is a cancelled viewing, a vendor who feels ignored and a buyer who goes to see the house with another agent in the meantime. Saturday is the busiest viewing day, the branch has to stay open while negotiators are out, and completion day does not move because someone took a long weekend. Yet in many agencies holiday is still requested on WhatsApp, written into a spreadsheet only the branch manager understands, and discovered on Monday morning when somebody asks where a colleague was. This guide covers how to organise holiday, time off and cover in an estate or lettings agency (independent or franchised, five to thirty people), which UK rules a tool needs to know, how to handle employees and self-employed consultants side by side, and what software has to do for your team to actually use it. If you want the big picture first, start with our complete guide to leave management software.

Why absences hit estate agencies harder

Three things make an agency different from an ordinary office. The first is the personal relationship: a vendor or landlord wants to deal with "their" negotiator, the one who did the valuation and knows the property. If that person is on holiday and nobody knows, the call goes unanswered and the deal cools. The second is the upside-down week: viewings happen when clients are free, which means Saturdays, early evenings and sometimes Sundays, while negotiators often take their day off midweek. Software that only knows "Monday to Friday" gets every count wrong. The third is the mixed team: one branch can have salaried negotiators, a valuer, a lettings manager, a self-employed consultant, a part-time administrator and an apprentice. They follow different rules, but clients see a single agency, and the calendar has to show them together. Leave software for estate agents has to start from these three constraints, or it will become one more tool nobody opens.

Who's in on Saturday: a wall chart per branch, absence caps and date locks

The heart of the system is the shared wall chart: the agency split into teams (sales, lettings, property management, admin, or one team per branch) and, for each person, their holiday, time off, sickness and training days. In Bueggio HR "who's in on Saturday?" has an at-a-glance answer, filterable by team, from the branch manager's phone or the front-desk computer. The working week can run Monday to Saturday, and each person can have their own: the negotiator who is off on Wednesdays, the administrator who works three mornings, the consultant who only does Saturdays. The engine respects it everywhere, so a rest day is never deducted as holiday. Two rules sit on top of the wall chart and replace the manager's memory. The absence cap per team sets how many people can be off on the same day: if the branch needs at least two negotiators for Saturday viewings, the third request stops at booking, before it even reaches the manager. Pending requests already take a slot, so two colleagues asking for the same bank holiday week are never both approved by accident. Date locks block new bookings for the periods when the agency cannot spare anyone (an open house weekend, a new-build launch, the rush to exchange before Christmas), for one team or the whole company, with a reason everyone can see; leave already approved stays valid. The help centre explains how date locks work.

Employees and self-employed consultants on one calendar

Estate agency mixes employment models more than most sectors. In the UK many networks work with self-employed consultants alongside salaried branch staff, and in the United States most agents are not employees at all: the IRS treats licensed real estate agents as self-employed for federal tax purposes when their pay is tied to sales and their contract says so. A self-employed consultant has no statutory holiday and does not ask permission to take a week off. But the agency still needs to know when they are away: so nobody books a viewing in their name, so their vendor's call goes to a colleague, so somebody covers the desk. In Bueggio HR employees and consultants sit on the same wall chart with different rules: allowances, balances and counters for employees; a zero allowance and a non-deducting leave type such as "Unavailable" for consultants. The branch manager sees everyone, no client is left without a contact, and nobody has to ask in the group chat whether Sam is in this week.

Requests from a phone, and leave inside every negotiator's calendar

A negotiator spends the day in the car, in properties and on the phone, with Google Calendar or Outlook as the only source of truth. A leave system that lives in an office back-end will never be used. Bueggio HR works in any phone browser with nothing to install, and can be added to the home screen like an app: leave type, dates, send, in the time it takes for a red light to change. Someone who only wants Saturday afternoon off books a half day. The request goes to the branch or team manager, who approves or declines in one click from email, Slack or Microsoft Teams, with no login; declining requires a written reason. Once approved, the absence appears in the Google Calendar or Outlook of the person who asked, and through the team calendar feed in the calendar of whoever books viewings: when someone takes a viewing for Thursday, they see straight away that the negotiator is out. Synced events carry the dates only, never the note on the request. It is the simplest way to stop requesting holiday on WhatsApp, where messages get lost among client chats; if your agency uses WhatsApp Business with clients, our guide to WhatsApp away messages has five templates to copy for when a negotiator is on leave. For the setup, the help centre covers syncing with Google Calendar and Outlook.

UK holiday rules your tool needs to know

The baseline is the same as in any UK business. Almost all workers are entitled to 5.6 weeks' paid holiday a year, capped at 28 days for a five-day week, and bank holidays can count towards it. Agencies that open on Saturdays need the six-day version of that maths, which is where a tool that knows each person's working week earns its keep. Notice rules are spelt out on gov.uk: a worker gives at least twice as much notice as the leave they want, plus a day; the employer can refuse with notice as long as the leave; and the employer can tell staff when to take holiday, for example a Christmas closure, with twice as much notice. For irregular-hours and part-year workers, such as a Saturday-only viewings assistant, holiday accrues at 12.07% of hours worked. Two points matter more in estate agency than elsewhere. First, holiday pay must reflect "normal" pay, which includes commission and regular overtime: a commission-heavy negotiator cannot be paid basic salary for their week off, so payroll needs an accurate record of which days were holiday. Second, employers are now required to keep detailed records of annual leave and holiday pay for six years. Bueggio HR keeps separate counters per leave type, calculates pro-rata allowances for mid-year starters, supports carry-over with a cap, and gives you a monthly payroll export (CSV or PDF) and an audit trail for every request. Always check the employment contract: the tool adapts, the contract decides.

Sickness: absence records, not medical files

Since the latest reforms, Statutory Sick Pay is paid from the first day of sickness absence and there is no longer a lower earnings limit, so every sick day now has a payroll cost. Staff can self-certify for up to seven days, and need a fit note after that. The ICO draws a useful line between an absence record (that someone was off sick) and a sickness record (what was wrong), and says employers may prefer to use absence records because they are less intrusive. Bueggio HR is built that way: a Sickness leave type that doesn't touch the holiday balance, an optional fit-note upload visible only to approvers and admins, and a wall chart where colleagues see the leave type and the dates, nothing else. Our guide to reasons to call in sick covers the rules from the employee side.

Compliance and training time belong on the calendar too

Estate agency is a regulated trade. Agencies dealing with residential property must belong to an approved redress scheme, and every estate agency business must be registered with HMRC for anti-money laundering supervision, which in practice means staff trained on customer due diligence. Add qualifications, network training days and property shows, and you have hours out of the branch that need planning like any other absence. In Bueggio HR you create a "Training" leave type that doesn't deduct holiday, with or without approval: the team sees who is in a classroom and who covers viewings, and the manager has a history of who did which course without keeping a second spreadsheet.

Plan holiday around the market's rhythm

HMRC publishes UK property transactions every month, both raw and seasonally adjusted, because the market has a rhythm that every agent feels: offers and viewings build in spring, and the end of the year brings a push to exchange and complete before Christmas. Good holiday planning follows that rhythm. Long holidays go where the diary is lighter, perhaps with a company closure between Christmas and New Year that Bueggio HR treats as a non-working day for everyone, without anyone having to book it. The busy weeks are protected with a tighter absence cap and a few date locks. And the summer holiday plan is collected in spring, with everyone seeing colleagues' requests on the wall chart before asking for their own, so overlaps get sorted between colleagues rather than in the manager's office. If you run several branches, our comparison of multi-location leave management tools looks at the options for coordinating more than one office.

Privacy: what the agency needs to know, and what it doesn't

Estate agents handle a lot of personal data about clients, and the same discipline applies to staff. The ICO notes that tracking vehicles that can also be used privately is rarely justified outside working hours. Bueggio HR stays out of that territory entirely: it does not track location, does not log journeys and never touches your clients, listings or offers, which stay in your property CRM. Data is hosted in the EU (Frankfurt), with a published DPA, a full data export, anonymisation for erasure requests and two-factor authentication that the owner can make mandatory for everyone.

A note for US real estate brokerages

In the United States the picture is different. Most agents are independent contractors, and for employees the Fair Labor Standards Act does not require paid vacation, so allowances come from company policy and state law. A brokerage still has salaried staff (transaction coordinators, office managers, marketing) whose PTO needs tracking, and agents whose availability matters to everyone who books showings. The same setup works: employees with PTO balances, agents with a non-deducting "Unavailable" type, everyone on one calendar synced to Google or Outlook.

Up and running in an afternoon, no IT needed

Setup is a checklist the owner or branch manager completes alone. Create the agency, set a Monday-to-Saturday week, add leave types (annual leave, sickness, training, "Unavailable" for consultants). Create teams or branches, name who approves and set each team's absence cap. Invite everyone by email; each person signs in from their phone, in their language (English, Italian, French or Spanish). Enter start dates, personal days off and current balances, and the system handles pro-rata. Pricing keeps the decision simple too: €1.30 per user per month, one plan with everything included, and the first month free, no card needed. Want to compare a few tools first? Frequently asked questions

Can self-employed agents and consultants go on the same leave calendar as employees?

Yes, and that is one of the main reasons agencies move off a spreadsheet. A self-employed consultant has no statutory holiday, but the branch still needs to know when they are away so nobody books a viewing in their name. In Bueggio HR you invite them like anyone else, set their allowance to zero and give them a leave type that deducts nothing (for example "Unavailable"): their days off show on the wall chart next to everyone else's, without balances that don't apply to them. Pricing is per user, so they count as one more person at €1.30 a month.

Does Bueggio HR work for several branches or a franchise group?

Yes. Each branch becomes a department with its own approver, its own cap on how many people can be off on the same day and its own date locks. The owner or area manager sees every branch on one wall chart and filters by branch in one click, while each branch manager only receives their own team's requests. If a branch sits in another country, each person can follow their own country's public holiday calendar.

Does Bueggio HR track where negotiators are during the day?

No, never. Bueggio HR only knows when someone is away and what type of absence it is, not where they are. There is no location tracking, no mileage log and no link to your property CRM, which keeps the listings, applicants and offers. That is a deliberate product and privacy choice: the ICO expects monitoring to be justified and proportionate, and a leave tool that knows very little about your team is far easier to justify, and to get your team to accept.

In short

In an estate agency, absences are measured in cancelled viewings and clients left waiting, and Saturday cover cannot depend on a branch manager's memory. The best leave management software for estate agents makes cover a rule (wall chart per team, Monday-to-Saturday weeks, absence caps, date locks), puts employees and consultants on one calendar, brings leave into every negotiator's diary and keeps UK holiday rules and GDPR built in. Bueggio HR does exactly that, without touching client data or tracking anyone, at €1.30 per user per month. Try it free for a month on your next summer holiday plan: if no client is ever again left without their negotiator because of an absence nobody saw, it has already paid for itself.
